Right now, the whole calendar lives in one person's head.

  • Around 200 owners email the office on December 20, and the order they arrive in is the order they are served.
  • Between 500 and 800 weeks are claimed inside the first minute.
  • Patti works it from the inbox and thirteen years of workbooks, and she is the only person who can.
That works because Patti is exceptional. It does not survive her being away, and nobody else can check it.
What we have built does not replace her judgement. It takes the typing, the ordering and the arithmetic off her, and leaves her the decisions she is actually good at.

What an owner does on December 20.

An owner with twelve weeks, start to finish, in under a minute.

  1. Signs in with an email and a password. No registration, no app to install.
  2. Sees the weeks they are deeded and presses one button: yes, these.
  3. Or taps the Saturdays they want on a calendar of the whole year.
  4. Says how many condos each stay needs, and what the weeks are for: staying, banking with an exchange, or renting out.
  5. Tells Patti anything she should know, in their own words.
  6. Presses send. Their place in line is set at that moment.

  • The twelve week owner presses one button. The one week owner taps one date.
  • Every stay runs Saturday to Saturday, stated as a fact, never offered as a choice to get wrong.
  • Nobody can be too early. The button turns itself on at noon, and being early is not a way to lose your place.
  • If two owners want the same week, the first to confirm keeps it and the second is told there and then, instead of both waiting on Patti to referee.
The honest limit: we hold an email address for about four owners in ten. The rest cannot log in, so the office phone stays open and Jhevelle can enter a request into the same queue, in the same arrival order. Getting more addresses on file is the single thing that widens this.

What Patti does with it.

  • Requests land in arrival order, one row per owner, with everything they asked for underneath.
  • The board shows the whole use year: every unit, every week, what is already fixed.
  • The system recommends a unit for each run, and when nothing fits it says so and offers a split or a shift, rather than guessing.
  • She can rename a fixed week when one is sold, release it, block it, or send it to the rental side.
  • Nothing is confirmed until she confirms it, at the end of February.

Three things we need from you.

How far do we go live in January?

Our plan: the board round and December 20 run on email exactly as they do today, with Patti practising in the console alongside and Nalu on Maui for December 20. January 1 then goes fully live online. You floated going further, sooner. This is the call to make today.

The domain.

The owner portal should live at www.kbcmaui.net, not a temporary address. That needs a release from whoever holds it today. The club's email runs on the same domain, so it has to be moved carefully rather than switched over. We need to know who to ask.

Board placements, before November 15.

The five board members' 2028 weeks go in first, and Patti places them. That round is open now and closes November 15.
